But not every group has an organized system for service requests. It\u2019s likely if you\u2019re not using <a href=\"https:\/\/www.teamdynamix.com\/enterprise-service-management-esm\/\">Enterprise Service Management (ESM)<\/a>, that every department \u2013 from HR and finance to marketing and facilities \u2013 has its own system.<\/p>\n<p>In most cases, groups or departments outside of IT rely on emails, phone calls or merely stopping and chatting in the hallway as a way of communicating requests \u2013 and these requests can be anything, including:<\/p>\n<ul>\n<li>Request a name change from HR.<\/li>\n<li>Request creative assistance from Marketing.<\/li>\n<li>Request catering for a meeting.<\/li>\n<li>Request help from facilities for a broken lightbulb, etc.<\/li>\n<\/ul>\n<h2>Work Better Together<\/h2>\n<p>While these email requests or other systems may get the job done, you should consider what can be lost when a formal service management process isn\u2019t in place, including:<\/p>\n<ul>\n<li>Accountability \u2013 Who is responsible for what? Are requests being completed on time? Without proper assignment and tracking processes, answers to these questions get very blurry.<\/li>\n<li>Visibility \u2013 Staff members seem busy and appear to be meeting responsibilities. But it is challenging and time-intensive to stop and precisely identify what is complete and what is still outstanding or even past due.<\/li>\n<li>Clarity \u2013 Lack of clarity can lead to over-committing and, ultimately, disappointing stakeholders.<\/li>\n<li>Paths Toward Improvement \u2013 The status quo stands a high chance of going unchanged when there is not a clear view of what is working versus what is not. It often takes highly visible process breakdowns to identify areas of improvement, leading to a perpetually reactive environment.<\/li>\n<\/ul>\n<p>Additionally, without a single tool in place for service requests and management, you\u2019re likely missing out on key knowledge that could be useful for the organization. When you have an ESM tool in place you can create a shared knowledge base that can act as a central repository of all company information, departmental information, forms and other reference documents can save considerable time. Now, instead of answering the same question over and over again, teams can point to these articles and direct people to the information they need without having it take up time.<\/p>\n<p>With <a href=\"https:\/\/www.teamdynamix.com\/enterprise-service-management-esm\/\">Enterprise Service Management<\/a> you can address these gaps and foster better visibility and collaboration across departments. This, in turn, can lead to higher efficiency, lower operational costs, improved service levels and increased satisfaction.<\/p>\n<p>When looking for an ESM vendor, it\u2019s important to consider features and functionality. You\u2019ll want to find a vendor that offers an ESM platform that\u2019s complex enough for IT\u2019s needs but is simple enough to use outside of IT. No-code ESM platforms that combine ESM with\u00a0Project Portfolio Management\u00a0and\u00a0<a href=\"https:\/\/www.teamdynamix.com\/ipaas\/\" rel=\"noopener\" data-internal=\"false\">integration and automation (through iPaaS)<\/a>\u00a0all on a single platform are ideal.<\/p>\n<p>At\u00a0<a href=\"https:\/\/hub.teamdynamix.com\/customer-stories\/pima-county-investing-in-supercharged-itsm-and-automation-to-combat-resource-drain-improve-service-delivery\" data-internal=\"standard\">Pima County<\/a>, for example, they are using TeamDynamix to facilitate an ESM approach to service management and delivery using TeamDynamix ITSM, PPM and iPaaS on a single platform.<\/p>\n<p>When it comes to onboarding new hires, the county\u2019s goal is to have new employees arrive on day one with everything they need to get to work, \u201cYou don\u2019t need to waste so much time when it comes to onboarding,\u201d Mark Hayes, information technology leader, said. \u201cIt really is such a sour experience for a new hire to come in, in this day and age, and sit around for three days waiting on their computer to show up. We need to get out of that mode and iPaaS is going to help us do that.\u201d<\/p>\n<p>In addition, using iPaaS to automate offboarding will save countless hours for a process that is normally very manual and heavily audited as Pima County is a government entity.<\/p>\n<p>\u201cAs a government organization we get audited by the state every year and they want to know what these stale accounts are doing sitting here,\u201d Hayes said. \u201cOffboarding is currently a very manual process \u2013 having to review the list from HR of people who are no longer employed with us and manually revoking their privileges from all the different systems and software and disabling their accounts. There\u2019s absolutely no reason for that to not be automated. iPaaS is going to help us a lot with this and save us time.\u201d<\/p>\n<h2>For Successful Adoption, ESM Needs to Be Easy to Use<\/h2>\n<p>To successfully implement an ESM platform throughout an organization, you need to think through use cases for each department and not assume everyone uses the same language and processes.<\/p>\n<p>To be successful, each group or department needs a purpose-built portal that incorporates their specific needs using a unified ESM tool.<\/p>\n<p>Simply taking an\u00a0<a href=\"https:\/\/www.teamdynamix.com\/it-service-management-itsm\/itsm-dashboards\/\">ITSM platform<\/a>\u00a0and trying to duplicate it in each group will not work. Each department needs to be able to ideate and create its own service solution WITHOUT dependency on IT. For this, you likely need a platform that is codeless.<\/p>\n<p>If marketing wants to add a new service to the catalog, or a new request type or wants to create new content in the knowledge base \u2013 they should be able to do so without using IT resources. The goal of a good ESM platform is to be easy to use, easy to own and easy to operate.<\/p>\n<p>Good ESM platforms provide:<\/p>\n<ul>\n<li>Ease of use \u2013 Each department can manage its own service requests, content and workflows without the help of IT resources.<\/li>\n<li>Dashboards \u2013 A specific view for each user type is helpful. If you are managing events and projects, you need to have a specific view of that versus someone managing work orders for facilities, or onboarding requests in HR.<\/li>\n<\/ul>\n<p>In short, ESM gives companies the tools and mechanisms they need to ensure they\u2019re solving customer problems efficiently and productively.<\/p>\n<h3>The goal of a good ESM platform is to be easy to use, easy to own and easy to operate.<\/h3>\n<h2>How to Get ESM Buy-In<\/h2>\n<p>Here are a few practical dos and don\u2019ts for implementing an ESM solution across your organization:<\/p>\n<ul>\n<li>Don\u2019t just take an ITSM platform being used within your IT department and try to scale it across each group. It won\u2019t work.<\/li>\n<li>Do meet with each department or group prior to implementing an ESM solution and settle on the processes and functionalities they need.<\/li>\n<li>Don\u2019t assume that each department has the same language as IT for each process. Marketing might not use the terminology \u201csubmit a ticket\u201d for example.<\/li>\n<li>Do ask each group or department for a list of their commonly used terms and how they correspond to the actions they\u2019ll be taking when using the ESM platform.<\/li>\n<li>Don\u2019t over complicate or try to over-process the ESM platform.<\/li>\n<li>Do make your ESM accessible and easy to use. For an ESM implementation to be successful, you\u2019ll want departments and groups to be able to fully utilize the platform WITHOUT reliance on IT for support. Implementing a codeless ESM platform can be a great way to free up IT resources and empower departments to manage their own portals.<\/li>\n<\/ul>\n<h2>Rolling Out ESM to Your Organization<\/h2>\n<p>At <a href=\"https:\/\/hub.teamdynamix.com\/customer-stories\/customer-spotlight-johnson-county-community-college-jccc\">Johnson County Community College (JCCC)<\/a> Tom Pagano, Chief Information Officer, said his group had numerous requests to use TeamDynamix outside of IT, \u201cWe\u2019ve had a huge demand to further\u00a0implement it from other departments,\u00a0such as the marketing department and\u00a0other departments that work off a ticketing\u00a0request and project system similar\u00a0to ours.\u201d<\/p>\n<p>In terms of advice for other CIOs and\u00a0their teams wanting to move to ESM, Pagano stresses that it is\u00a0important to understand the\u00a0culture of the department you\u2019re working with, \u201cNot every organization\u00a0is prepared to put in the necessary\u00a0work.\u201d<\/p>\n<p>And, change can be a hurdle, \u201cIt can be construed as a scary or threatening type of thing because, at the end of the day, it takes everybody [to get onboard],\u201d he said.<\/p>\n<p>To combat this, it\u2019s critical to get everyone on the same page, \u201cIf you don\u2019t have the right mindset in the culture you won\u2019t get buy-in,\u201d he said. \u201cPeople will feel threatened by it. But by meeting with small groups over a period of months, I was able to turn that around and it went from fear to questions about how to use the system and make it better. As a result, there has been a real change in the culture at JCCC.\u201d<\/p>\n<h2>Don\u2019t Shy Away from Incentives for ESM Use<\/h2>\n<p>When <a href=\"https:\/\/hub.teamdynamix.com\/youtube-work-management\/enterprise-wide-service\">Florida Atlantic University<\/a> CIO Mehran Basiratmand expanded service management across the FAU campus, he worked hard to create a positive culture around the move. His campus has 15 IT departments outside of the central IT and around 75 employees using the platform, \u201cAs you can imagine, it is daunting to get anything done at the institutional level,\u201d he said.<\/p>\n<p>So, when the decision was made to scale their ITSM into ESM he needed to establish a culture that embraced using a single tool to enhance technology \u2013 bringing project management together with service management.<\/p>\n<p>To do this Basiratmand and his department agreed to cover all costs associated with the platform for all groups using it across campus, \u201cWe have had so much success, now we see groups asking us, \u2018can we set this up for asset management or for tracking student success?\u2019 So now, it is going beyond where we had originally intended.\u201d<\/p>\n<p>You can hear more from Basiratmand in the\u00a0<a href=\"https:\/\/hub.teamdynamix.com\/youtube-work-management\/enterprise-wide-service\">video<\/a>\u00a0below.<\/p>\n<p><iframe src=\"https:\/\/www.youtube.com\/embed\/DLec2xYDeyo\" width=\"560\" height=\"315\" frameborder=\"0\" allowfullscreen=\"allowfullscreen\"><\/iframe><\/p>\n<p>Want to learn more about Enterprise Service Management?
